HealthEast wants to present a consistent, professional image with all our communications. E-mail is now our most commonly used communication method, and it is important our e-mail messages maintain the same professional standards as letterhead stationery.
The HealthEast Identity & Style Guide provides direction on how to reinforce the HealthEast brand through many types of communication. This guide includes the recommended e-mail signature blocks below. To support the HealthEast brand, all employees are expected to use the recommended e-mail signature.
Please read the instructions on how to copy and paste the appropriate sample block into your Outlook e-mail signature field to maintain the proper formatting. You can then edit the content with your specific contact information and e-mail link.
Note: You should NOT use the HealthEast Vision circle graphic as part of your e-mail signature. As a reminder to maintain a professional appearance, you should also NOT change the background color of your e-mail messages. Maintaining the standard white background provides a consistent and easy-to-read background.
Signature block templates to copy and paste:
To create a signature in Outlook 2007:
- From the Outlook Toolbar, select Tools and then Options from the drop-down Menu.
- Click the Mail Format tab
- Click the Signatures button.
- If there is no existing signature to edit, you will need to create a new signature by clicking the New button and entering a name for it.
- Then Copy the appropriate signature block from this Infonet page (scroll down to see examples) and Paste it into the "Edit signature" field.
- Edit the signature block with your personal contact information.

- You must then Activate the e-mail link in your signature block:
- First, type your correct e-mail address in your signature block. - Then highlight your e-mail address and Copy it. - With your e-mail address still highlighted, select the Hyperlink icon from the signature block editing menu (see the example on the right). - If working in Outlook 2007, select the E-mail Address option from the left of the pop-up window that appears. If working in the Outlook Web App version, delete the "http://" reference in the pop-up window and type "mailto:" followed by your e-mail address (e.g., mailto:yourname@healtheast.org). - Click OK.
- Click Finish or Save, then OK again if prompted.
If you are using Outlook 2010...
- From the Outlook Toolbar, select the File menu.
- Choose Options.
- Click on the Mail option on the left.
- Choose Signatures... (the third option down).
- Then continue with Steps 4-8 from the Outlook 2007 instructions above.
To have your signature inserted automatically into every e-mail you send, reply to and/or forward:
For Outlook 2007
- After the signature has been created, go to Tools and then Options.
- Click the Mail Format tab.
- Click the Use this Signature by Default arrow and select the name of the Signature you want to be used on all e-mails. Click OK when finished.
- Your signature will automatically appear each time you create, reply to or forward an e-mail message.
For Outlook 2010
- After the signature has been created, remain on the E-mail Signature window/tab.
- Then select the signature name from the drop-down options under Choose default signature for your E-mail account, New messages, and Replies/forwards .
- Click OK when finished.
- Your signature will automatically appear each time you create, reply to or forward an e-mail message.
